What is Mindflows?

Mindflows is a custom app studio based in Frankfurt, Germany. We build AI-powered business apps and growth systems for companies that have outgrown off-the-shelf SaaS tools. We're the #1 Softr Partner in Europe and have shipped 70+ custom apps across 14+ countries.

Where are you based?

Frankfurt am Main, Germany. We serve clients across Europe, the US, the UK, and Canada — fully remote engagement with EU-based legal and operational structure. Our team works in CET timezone but coordinates flexibly across regions.

How big is your team?

Two partners (CEO + Performance Lead) plus a network of senior builders, designers, and strategists across Europe. We deliberately stay senior-only — no junior handoffs, no offshore middlemen. Every engagement gets direct access to people who actually build the work.

How do I start working with you?

Book a Discovery Call. 30 minutes, no obligation. We listen to your situation, identify the highest-leverage system to build, and tell you honestly if we're the right fit — even if we're not. After Discovery, we send a written proposal with scope, timeline, and investment.

What does a typical engagement look like?

Three phases: Discovery (1 week — operational mapping and scoping), Build (1–12 weeks depending on scope — design, develop, integrate, test, train), and Retainer (optional ongoing improvement and support after launch). Most clients move into a Retainer engagement after the initial build.

How long does a project take?

Quick Wins ship in 1–2 weeks (focused single-purpose builds). Custom Builds typically take 3–6 weeks (multi-role systems, branded portals, custom workflows). Operations Systems run 6–12 weeks (multi-tenant, multi-integration). Strategic Programs are 3+ months (full operational transformation). Discovery is always week one.

Do you offer ongoing support after launch?

Yes. Most clients move into a Retainer engagement after launch — typically a fixed-hours-per-month arrangement for ongoing improvements, new feature requests, integrations, and operational support. Retainers are scoped during build, not afterthoughts. The system you launch is version 1.0 — the Retainer is how it stays current.

Why don't you publish prices?

Because every business is different and we refuse to pretend otherwise. Productized pricing forces clients into pre-defined boxes that rarely fit their actual situation. We scope honestly after Discovery — you get a quote based on your actual needs, not a template. This means we may not be the cheapest, but we're the right fit.

What does a typical project cost?

Engagements range from focused Quick Wins to multi-month Operations Systems, with corresponding scope and investment ranges. We share concrete numbers after Discovery once we understand what you actually need to build. If you need a rough sense before booking a call: most engagements fall in the €15k–100k range depending on scope, with smaller starter projects and larger multi-phase programs on either end.

Do you offer fixed-price quotes?

Yes — for clearly scoped engagements. After Discovery, we send a written proposal with fixed scope, fixed timeline, and fixed investment. Open-ended work or rapidly evolving requirements are typically structured as Retainers (fixed monthly hours) rather than fixed-scope projects. We're transparent about which model fits your situation.

Platforms & Technical

What platforms do you build on?

Most often Softr (we're the #1 Softr Partner in Europe), Lovable for AI-augmented custom builds, monday.com for operations-heavy builds, and Make/n8n/Zapier for workflow automation. Platform fit is decided during Discovery — never pre-decided. We refuse to force a problem into a platform.

Can you work with our existing tools?

Yes. Most engagements integrate with existing tools rather than replacing them. We've connected builds with Stripe, DocuSign, Slack, Gmail, HubSpot, Salesforce, monday.com, Google Workspace, Microsoft 365, and dozens more. If a tool has an API, we can connect it. We treat your existing stack as inputs, not problems to solve.

Do we own the code and data?

Yes. Always. Code, data, accounts, branding, platform configurations — all yours. Built under your accounts on platforms like Softr, Lovable, monday.com, and Supabase. If we ever part ways, you keep everything. No vendor lock-in. No SaaS rental. This is non-negotiable in every engagement.

Do you work with companies our size?

We work best with companies between 10 and 500 people who have outgrown off-the-shelf tools but aren't yet at enterprise scale where bespoke development teams become viable. Smaller (5–10 people) works when the build is high-leverage. Larger (500+) works when the engagement is a focused project rather than full operations transformation.
